  • Design Coordination Meetings
    Participate in regular design meetings with the Owner, architect, and consultants to review progress, discuss scheduling, identify issues, and support informed decision-making.

  • Early Procurement Planning
    Identify long-lead materials and equipment early. Develop procurement strategies to avoid delays, including direct purchase and later assignment to contractors.

  • Preliminary Construction Schedule
    Develop a milestone-based bid schedule for use during the bidding period. This will later inform a more detailed construction schedule post-award.

  • Drawing & Specification Review
    Evaluate construction documents for accuracy and coordination across architectural, civil, structural, mechanical, and electrical disciplines.

  • Bid Package Structuring
    Organize the work into coordinated bid packages to support competitive bidding and clearly defined scopes. Anticipated: 4–7 prime contracts.

 

Bidding & Procurement

  • Contractor & Supplier Outreach
    Identify, vet, and engage interested contractors and suppliers. Review plans and encourage qualified participation.

  • Finalize Bid Package Breakdown
    Refine and finalize bid divisions to ensure clarity and competitive pricing across trade categories.

  • Bidding Process Coordination
    Administer the full bidding process: issue documents and addenda, hold pre-bid meetings, and coordinate bid receipt.

  • Bid Document Distribution
    Distribute all bidding documents to contractors and maintain detailed records of distribution.

  • Pre-Bid Meetings
    Conduct pre-bid conferences with all bidding parties, the Owner, and design consultants to clarify scope and answer questions.

  • Bid Review & Evaluation
    Assist in collecting and evaluating bids. Provide recommendations on contract awards.

  • Contract Preparation
    Draft and coordinate distribution of executed construction contracts.

  • 90-Day Look-Ahead Schedule
    Provide an interim schedule covering the first 90 days of construction, later incorporated into the full construction schedule.

  • Pre-Construction Kickoff
    Facilitate a startup meeting post-award with contractors and stakeholders to establish project roles, communication flow, and procedures.

  • Early Phase Construction Oversight
    Manage project activities during limited mobilization. Conduct job meetings and provide oversight until full-time site presence begins (approx. 2 months).

 

Construction Oversight

  • On-Site Supervision
    Maintain a full-time field staff to oversee construction, ensure compliance with plans, and coordinate contractor performance.

  • Full Project Scheduling
    Develop and maintain a detailed construction schedule with input from prime contractors. Update regularly to track milestones.

  • Progress Monitoring
    Track contractor schedules, observe field progress, and work with trades to address schedule risks.

  • Quality Control Oversight
    Monitor work for conformance and recommend corrections as needed to maintain quality.

  • Jobsite Documentation
    Maintain all project records including contracts, drawings, submittals, correspondence, and meeting minutes.

  • Payment Processing
    Manage the review and approval process for contractor payment requests. Track progress against approved values.

  • Cost Tracking & Budget Updates
    Maintain up-to-date accounting of all construction costs, including approved change orders.

  • Jobsite Meetings
    Lead regular jobsite meetings to review progress, identify issues, and maintain communication among all parties.

  • Daily Field Reports
    Keep daily logs covering weather, manpower, work progress, and site activity. Issue monthly status updates.

  • Change Order Management
    Review, negotiate, and track all changes to scope and pricing. Represent Owner in change order discussions.

  • Testing Oversight
    Coordinate independent testing services. Review results and advise the Owner on necessary actions.

  • Field Modifications
    Recommend changes driven by site conditions or opportunities for improved quality, cost, or schedule performance.

  • Project Photography
    Arrange for consistent photo documentation of site progress, including special activities or milestones.

 

Project Close-Out

  • Close-Out Planning
    Develop a detailed schedule for final activities including punch list completion, systems testing, and occupancy.

  • Manuals & Warranties Compilation
    Gather all O&M manuals and warranties. Deliver organized documentation to the Owner.

  • Final Inspection Coordination
    Schedule inspections and support the architect in certifying substantial and final completion.

  • Contract Close-Out
    Monitor final completion of contract scopes. Approve release of retainage upon satisfactory completion.

  • System Start-Up Oversight
    Coordinate the activation of building systems and support contractor-led training for Owner’s personnel.

  • Occupancy Coordination
    Assist with scheduling and logistics for move-in, including furniture installation and staff onboarding.

  • Warranty Period Oversight
    Track and manage contractor performance during the warranty phase. Ensure timely resolution of post-completion issues.

PROJECT MANAGEMENT
